Trantham Services, Inc. is hiring a full-time Administrative Assistant – Billing & Fuel Records. We are seeking someone who is reliable, organized, and attentive to detail to help us ensure efficient operations in our office. This position will be Monday – Friday, 8AM – 4PM, and located at our home office in Alexandria, AL.

 

Job Duties and Responsibilities include:

• Responsible for billing and payroll tasks including but not limited to:

o Accurately calculate total number of loads, miles, tons, hours, etc. from driver paperwork

o Create invoices in Quickbooks and meet weekly billing deadlines

o Enter data in spreadsheets using Microsoft Excel and submit to the payroll manager to meet weekly deadlines

• Responsible for fuel records including but not limited to:

o Sorting and organizing driver mileage sheets and fuel receipts

o Match fuel receipts to weekly fuel bills and ensure vendor fuel bills are accurate

o Maintain a spreadsheet to track weekly fuel prices

• Proficient in basic Microsoft Excel tasks such as creating

• Proficient in Microsoft Word and Outlook

• Must be able to learn and proficiently use Quickbooks software to create invoices

• Basic calculator use

• Miscellaneous sorting, filing, and scanning of paperwork

• Answer phone calls, transfer phone calls, and take accurate messages

• Provide good customer service

• Complete other administrative tasks, as assigned.

Job Qualifications and Skills:

• Must be able to effectively problem-solve in a timely manner

• Excellent verbal and written communication skills

• Excellent telephone etiquette

• Must be detail-oriented, organized, accurate, and able to plan work activities to use time efficiently

• Minimum of a High School Diploma or equivalent

• Associate’s degree not required, but preferred

• Minimum of 1-year experience in an office setting Compensation and Benefits: • This position is paid hourly, and pay is based on experience.
